Offer promo codes to encourage direct bookings

Want to reward your loyal guests or attract new customers during quiet periods? Promo codes are your best ally – turn a simple visit into...

Written by Léa

📌 This article answers the following questions:

- How do I create a promo code in elloha?

- How do I limit the number of times a promo code can be used?

- How do you share a promo code on Facebook, Google or Instagram?

- How do I send a promo code directly to a customer?

Why is this important?

Offering a promo code isn’t just about giving a discount. It’s a powerful marketing tool for:

  • Boost your conversion rate: An immediate benefit removes the final barriers to booking.

  • Build customer loyalty: Send an exclusive code to thank your customers for their previous stay.

  • Optimise your booking calendar: Create limited-time offers to fill your quieter periods.

What your customers will see

A promo code that’s easy to use when booking: your customers simply enter the code at checkout and immediately benefit from the discount applied to their stay.

Follow the step-by-step guide

Check out the interactive tutorial below for a quick introduction, then refer to the detailed, illustrated explanations to explore each step in more depth.

Step 1: Access the promo code management area

This area allows you to centralise and manage all your promotional offers.

  1. In the left-hand side menu, click on the ‘Pricing’ menu.

  2. Select the ‘Promo Codes’ tab.

  3. Click on the ‘Add a promo code’ button, located at the top right of your screen.

Step 2: Set the discount parameters

Once you have entered the name and activation code, configure the terms of your discount:

  1. Select the Discount type: choose either a fixed amount or a percentage.

  2. Enter the discount amount to be applied to your rates.

💡 Tip: Use short, easy-to-remember codes for your travellers (e.g. SUMMER26, THANKYOU, GIFT).

Step 3: Set usage restrictions

Set up restrictions for your promo code to maintain control over your bookings:

  • Enable or disable the limit on the number of times the code can be used.

  • Set a maximum quota for the number of times the discount can be applied across your entire property.

💡 Tip: Limiting the number of uses helps create a sense of urgency and encourages your customers to book their stay before the offer runs out.

Step 4: Set the description and validity period

Enter the details regarding the identification and duration of your offer:

  • Description: enter a short text to describe what your promo code is for.

  • Validity period: set the start and end dates during which the code can be used by your guests.

Step 5: Add an image to your promo code

Adding an image helps to illustrate your promotional offer on your booking engine.

  1. Select a template from the available images.

  2. Or import your own image by selecting a file already in your media library or by uploading a new file.

📌 Good to know: All your images are centralised in the Media tab. This section allows you to organise and reuse your files across the various sections of your account.

👉 To find out more about managing your images, see the article on the Media Library.

Step 6: Check the promo code preview

A dynamic preview of your offer is displayed on the right-hand side of the screen at each stage of the setup.

This screen allows you to check, in real time, how the final result will appear to your customers.

Step 7: Select the relevant offers

To define the scope of your promo code:

  1. Click on the ‘Applicable Offers’ tab.

  2. Choose whether to apply the discount to the entire basket or only to certain offers.

⚠️ Please note: If you select a hosting offer, all associated pricing plans (standard and discounted) will by default be covered by the promo code. Scroll through the list of pricing plans to make changes.

If you select the “On selected offers” option, you can then:

  • Select the relevant services.

  • Choose the associated pricing plans.

💡 Tip: We recommend applying the discount only to your standard rate to avoid excessive accumulation of discounts on your bookings.

  • Include options (additional services) if you wish to include these services in your promotion.

  • If necessary, apply the promo code when purchasing your gift cards.

Step 8: Promote your promo code

Set the visibility settings and distribution channels for your offer via the Publication tab.

Set the publication period by selecting specific dates to control the offer’s visibility on your calendar.

Enable the ‘Public promo code’ option if you wish the discount to be visible and accessible to all your tenants.

Select the distribution channels on which to activate the promotion:

  • Your elloha booking engine

  • Google

  • Facebook

  • Instagram

Step 9: Send the promo code to a customer

The ‘Sent to’ tab allows you to send a promotional code to one of your specific customers.

  1. Fill in the required information in the fields on the right-hand side of your screen.

  2. Click on the ‘Send promo code’ button.

Once the code has been sent, you’ll be taken to a summary table where you can track:

  • The list of recipients.

  • The date and status of the email sent to the recipient.

Step 10: Save and publish your promo code

To finalise the creation of your offer, do the following:

  1. Click the Save button.

  2. Click on Publish to activate the promo code on your booking engine.

Your promo code is now ready: share it and boost your bookings straight away!

Key points

  • The promo code encourages direct bookings: it encourages customers to book with you rather than through an OTA.

  • Simple and flexible: You can manage amounts, dates and quotas in just a few clicks.

  • Measurable: Track how your codes are being used to see which campaign is performing best.
