Did you know that travellers plan their stay on average 31 days before arrival? This is the strategic moment to capture their attention. Offering a special deal at the right time gives your prospective guest a compelling reason to book with you rather than elsewhere. Your customers will then see a clear offer, with exclusive benefits that showcase your property.

Step 1: Go to the area for creating your pricing plans

To set your accommodation prices, you need to configure a pricing plan.

  1. In the side menu on the left-hand side of your screen, click on Pricing.

  2. Select the Pricing Plans tab.

  3. Click the ‘Create a pricing plan’ button.

This section allows you to create and manage multiple pricing plans to suit your needs. You can therefore offer different rates depending on your periods, promotions or customer types.

💡 Tip: The pricing plan allows you to link specific terms and conditions of sale and cancellation to your rates.



Step 2: Choose the offer type

Once you have named your pricing plan, you need to specify its category.

From the drop-down menu, select the ‘Special Offer’ option.

This choice allows you to separate your promotions and special offers from your standard rates in your calendar.


Step 3: Configure how your pricing plans are adjusted

Configure how your pricing plans are adjusted by following these steps:

Choose the type of adjustment: surcharge (increase) or discount (reduction).

Select the calculation method: as a percentage or as a fixed amount.

If you choose to calculate by percentage, you can define the rounding rule applicable to your rates:

  • Exact value: the calculated price is applied as it stands.

  • Round up: to the next unit (with or without decimals).

  • Round down: to the next lower unit (with or without decimals).

Using rounding makes rates easier for your customers to read on your booking engine.

Please check carefully which rounding option you have selected, as this directly affects the final price calculated on your calendar.

Step 4: Specify the details of your offer

Use the following fields to define the specifics of your rate and inform your customers:

  • Rate plan details: provide details on the conditions under which this rate applies.

  • Price includes: list the services automatically included in your package (e.g. bed linen, electricity).

  • The price does not include: list any supplements or charges to be paid separately (e.g. tourist tax, optional cleaning).

💡 Tip: A clear description of what is and isn’t included reduces the need for further enquiries and reassures your guests when they book.


Step 5: Choose the board type

Select the meal plan included by default in your accommodation rate:

  • No meals

  • Breakfast

  • Half-board

  • Full board


Step 6: Set the validity period for your offer

Specify the period during which your offer will be available for booking:

  • Permanent: your offer remains active with no end date.

  • Time-limited: you set a specific period with a start date and an end date.

💡 Tip: Opt for the time-limited option for your seasonal special offers to maintain optimal control over your schedule.


Step 7: Set your stay restrictions

This section allows you to define the conditions for booking your accommodation:

  • Length of stay: set the minimum and maximum number of nights per booking.

  • Arrival and departure days: specify the days of the week permitted for guest arrivals and departures.

💡 Tip: Setting a minimum stay (for example, 2 nights at the weekend) allows you to optimise your booking calendar and reduce your cleaning costs.


Step 8: Select your applicable offers

Select the properties to which you wish to apply your special offer:

1 – On the right-hand side of the screen, tick the properties covered by the special offer.

2 - Select the standard pricing plans on which the offer will be based.


Step 9: Link a cancellation policy

Select the refund conditions applicable to this offer:

  • From the drop-down list, choose one of the cancellation policies you have previously set up.

Ensure that the selected policy is in line with your accommodation’s rates and terms of stay.

⚠️ Please note: Clicking on ‘Create a new cancellation policy’ will take you away from the current page. Any unsaved data for your special offer will be lost.

To ensure your settings are saved, we recommend that you:

  1. Save your special offer before creating the new policy.

  2. Or create your cancellation policies before setting up your offers and rates.

  3. You can also finalise the creation of your special offer using an existing condition and return to edit the cancellation policy at a later date.


Step 10: Choose your payment method

Select the payment method you wish to apply when booking your accommodation:

  • Full payment at the time of booking: the full amount of the stay (excluding tourist tax) is collected upon confirmation.

  • Partial payment at the time of booking: a percentage of the total amount, as defined by you, is charged at the time of booking.

  • Payment on arrival with a credit card held as a guarantee: the guest’s card details are recorded to secure the booking, with no immediate payment taken.

  • Payment on arrival without a credit card held as security: no payment or credit card details are taken at the time of booking.

❗️Important: You must activate a virtual payment terminal to use the full payment, partial payment or credit card as a guarantee payment methods.


Step 11: Save your offer

Once all the settings have been entered, click Save to confirm the creation of your special offer.

Your special offer is now ready to use. You can also create promotions to further strengthen your sales strategy.
