Why is this important?
Keeping track of your booking statuses is key to never missing an opportunity and ensuring a seamless experience for your customers. It allows you to:
Save time by accessing essential information straight away.
Avoid scheduling errors by identifying bookings that need confirming.
Secure your revenue by monitoring payment status in real time.
Follow the step-by-step guide
Step 1: Access your bookings
View all your booking records to manage your accommodation’s operations.
In the left-hand side menu, click on Bookings.
This overview summarises the key details of each booking:
Guest: your guest’s name and contact details.
Dates: the period of the stay.
Amount: total price of the booking.
Status: current status of the booking (confirmed, on hold, etc.).
Payment: payment status (paid, partial or pending).
📌 Good to know: If no name is entered in the Client tab of a booking record (for example, when creating a record via New Sale), the ‘Name’ field will appear greyed out in the list of bookings.
Step 2: Sort and search your bookings
Use the filter and search tools at the top of your screen to quickly access your customers’ files:
Filters: refine the display by creation date, stay period, status, payment status or booking type.
💡 Tip: Using filters in combination allows you to find specific information and manage your daily schedule efficiently.
Step 3: See the status of your bookings at a glance
Instantly view the status of your bookings from your booking list:
Booking status: indicates whether the booking is confirmed, cancelled or pending.
Payment status: indicates whether the booking has been paid in full or is still outstanding.
💡 Tip: These indicators allow you to manage your business without having to open each booking record.
Step 4: View the details of a booking
From your calendar, click on a booking to open its full details. This section brings together all the information relating to your guests’ stay.
The booking record allows you to:
Edit the guest’s contact details or the details of their stay.
Record a new payment.
Send documents (confirmation, invoice) by email.
Finalise and close the file.
Step 5: Manage your bookings using the various tabs
The Bookings menu is organised into several tabs to help you track the status of your bookings:
Bookings: This tab lists all your confirmed bookings.
It is your main view for tracking your upcoming stays, arrivals and payment statuses.
Pending Confirmation: This tab is used if you have enabled deferred confirmation.
Here you’ll find booking requests awaiting approval. You can accept or decline them after checking them.
Quotes: Here you’ll find all the quotes you’ve sent to your customers.
As soon as a customer accepts your proposal, you can convert the quote into a booking in just a few clicks. (Find out more about quotes)
In Progress: This tab lists bookings that are currently being created or have not yet been finalised.
You can return to them at any time to complete the details, add services or finalise the booking.
You now have a clear and comprehensive overview of your bookings, making it easy to manage your day-to-day operations.
